Google Drive Workspaces for CRM

Problem the project solves

Automatically creates a structured Google Drive folder for each customer, deal, or project and saves its link in the CRM. This simplifies document management and helps reduce costs related to CRM storage, higher plans, and file limitations.

The solution connects Google Drive to a CRM and creates a dedicated document workspace for every customer, deal, order, or project.

A folder can be created automatically when a new CRM record appears, when a deal reaches a selected pipeline stage, or manually through an action available to the manager. The folder name can be generated from CRM data, such as the customer name, order number, deal title, or internal record identifier.

A predefined structure can be created inside each workspace:
- contracts;
- invoices;
- acceptance documents;
- technical materials;
- customer files;
- completed work;
- internal documents.

After the workspace is created, the integration writes its URL to a custom field in the CRM. Managers do not need to create folders manually, copy links, or search for documents across a shared company drive.

Keeping files in Google Drive instead of storing everything directly inside the CRM provides more storage flexibility, better access control, clearer document organization, and access to Google Docs, Google Sheets, and other Google Workspace tools.

The first version may support one or several CRM platforms depending on demand from Laboratory participants. Potential integrations include KeyCRM, KeepinCRM, HubSpot, Zoho CRM, Kommo, Salesforce, Pipedrive, Perfex CRM, and other systems with an available API.
